Please read carefully before using this website or booking any travel products or services. By browsing, making an inquiry, paying a deposit or balance, or otherwise using our Services, you agree to be legally bound by these Terms & Conditions. 

By accessing this website, making inquiries, reserving, or paying for any travel services, you agree to be legally bound by these Terms in full. If you do not agree with any portion of these Terms, please do not use our site or book any services.

Who We Are

Alhadi Travel is a travel agency that provides travel planning, booking assistance, and related services for international travel, including but not limited to Umrah and Hajj packages for pilgrims departing from the United States.

When we act as a booking intermediary for travel components such as flights, hotels, transport, or visas, we do so on your behalf and in coordination with third-party service providers.

In these Terms & Conditions:

  • “You,” “Your,” “Client” means the person making a booking or using our Services. 
  • “Alhadi Travel,” “We,” “Us,” “Our” means the travel agency providing travel planning and booking services. 
  • “Services” include travel packages, visas, accommodations, transportation, flight arrangements, guidance, and any related services offered directly or indirectly by Alhadi Travel. 
  • “Supplier” means third-party service providers such as airlines, hotels, transport companies, visa issuers, and other vendors. 

Use of the Website

You agree to use the website responsibly and lawfully. Our content and services are intended for users who are at least 18 years of age or older and legally capable of entering into binding contracts.

You agree not to attempt unauthorized access to any part of the website or systems, or to interfere with the functionality of the website. Alhadi Travel may suspend or terminate access to the website at any time without liability.

Bookings and Reservations

When you initiate a booking, we collect details such as your full name, passport information, contact details, and trip preferences. It is your responsibility to ensure that all information provided is accurate and complete.

A reservation is considered confirmed only after full payment is received by us. You will receive a confirmation notice or invoice that outlines your travel details, payment summary, and itinerary. Until that confirmation is issued, the booking is not guaranteed.

The confirmation reflects the terms that govern your travel services. You must carefully review all confirmations and travel documents and immediately inform Alhadi Travel if there are any errors or discrepancies.

Pricing and Payments

All prices for travel packages, flights, accommodations, transport, and other services are quoted in United States Dollars (USD) and are subject to change until confirmed through payment.

Prices may vary due to changes in government fees, airline fuel surcharges, taxes, currency fluctuations, visa-related charges, or other supplier adjustments. Once your booking is confirmed with payment, the price is fixed unless otherwise specified.

A deposit may be required to hold your reservation. This deposit is non-refundable and goes toward the total package cost. Your confirmation invoice will specify any required balance and payment due date. If the balance is not paid by the due date, we may cancel your booking without refund.

Payment methods accepted may include bank transfer, credit or debit card, and other online payment options. Additional processing fees may apply depending on the payment method you select.

Cancellation and Refunds

All cancellation requests must be communicated in writing to Alhadi Travel by email or through an authorized representative.

The initial deposit you pay for holding your booking is non-refundable under all circumstances.

Refund eligibility and amounts depend on the timing of your cancellation relative to your departure date, as well as the terms set by airlines, hotels, transport operators, and other third-party providers. Some components of your travel package, such as airline tickets or special hotel rates, may be entirely non-refundable according to supplier rules.

In cases where refunds are allowed, processing may take several weeks, depending on the supplier’s policies and procedures.

We strongly recommend that you purchase travel insurance to cover potential cancellation costs, including those beyond your control.

Changes to Bookings

Changes to travel arrangements (such as traveler names, dates, or services) may be possible depending on availability and supplier policies. However, changes are subject to airline, hotel, transport, and other supplier fees.

Please be aware that many third-party services impose their own change penalties, which can be significant or total. Alhadi Travel will support you in facilitating changes where permitted, but cannot guarantee approval or control supplier change fees.

Third-Party Service Providers

Many travel components are provided by independent third parties, including but not limited to airlines, hotels, transportation services, local tour operators, and visa processing agencies.

Your contractual agreement for these services may be directly with the service provider, and you agree to be bound by the terms and conditions of each supplier as they apply.

Alhadi Travel does not control the operations or performance of third-party providers and is not responsible for delays, disruptions, cancellations, or other issues that arise from circumstances outside our control.

Travel Documents, Visas and Entry Requirements

You are responsible for ensuring that your passport is valid for international travel and has at least six months of validity beyond your return date.

Visa issuance is required for travel to Saudi Arabia for Umrah and Hajj. Alhadi Travel assists with gathering and submitting visa documentation, but visa approval is determined solely by the issuing authority and is never guaranteed by the agency.

You must provide complete and accurate documentation, including passport scans, photographs, vaccination proofs, and any other requirements communicated by us or the Saudi authorities.

Failure to provide required documents on time may result in visa delays or denial, and no refund will be provided in such cases.

You are responsible for meeting all entry requirements, including health and vaccination mandates, as prescribed by the Kingdom of Saudi Arabia or any other destination country.

Travel Insurance

Pilgrimage travel involves various risks, including medical emergencies, trip cancellation, lost or delayed baggage, and other unforeseen events.

Alhadi Travel strongly recommends that all travelers obtain comprehensive travel insurance that covers trip cancellation, emergency medical treatment, repatriation, and baggage protection.

Alhadi Travel is not responsible for any costs incurred that would otherwise be covered by travel insurance.

Behavior and Participant Conduct

When participating in travel services through Alhadi Travel, you agree to conduct yourself in a respectful, courteous manner that reflects well on yourself and others.

Any behavior deemed inappropriate, disruptive, unsafe, or offensive may result in removal from activities or services, without refund, and may require you to make your own arrangements at your own expense.

Pilgrimage travel often involves large crowds, physical exertion, and logistical movement; you acknowledge and accept these realities as part of the experience.

Liability Limitations

Alhadi Travel acts primarily as a booking intermediary between you and travel service providers. We are not the principal supplier for most travel services and cannot control how independent providers fulfill their obligations.

To the fullest extent permitted by law, Alhadi Travel shall not be liable for any direct, indirect, special, incidental, consequential, or punitive damages, including but not limited to loss of enjoyment, loss of profits, or any losses arising from travel delays, supplier negligence, accidents, injuries, illness, theft, or other events beyond our control.

The content available on the website, including travel descriptions, pricing, schedules, and images, is provided for informational purposes and may be amended without notice.

Alhadi Travel makes reasonable efforts to ensure the accuracy of information online, but cannot guarantee that all details are current or error-free. You agree that your use of the website and reliance on content is at your own risk.

Privacy and Personal Data

We collect and process personal data for the purpose of booking travel services, processing payments, arranging visas, and communicating with you about your trip.

Your information will be used in accordance with our Privacy Policy, which is a separate document that explains in detail how we collect, store, use, and protect your personal data.
